POSITION SUMMARYWe’re seeking a proactive and detail-oriented Facilities Program Manager to take charge of daily operations, maintenance programs, and expansion projects across our wellness clinics and corporate facilities. This hands-on role requires managing renovations, coordinating vendor services, optimizing space planning, and handling project documentation. The right candidate thrives when rolling up their sleeves to tackle operational challenges, keep workflows on track, and collaborate across teams. Strong project management skills combined with a commitment to creating efficient, safe, and enjoyable environments are essential for success in this role.
OBJECTIVES
- Facility Operations: Coordinate daily operations across all 10X Health facilities to support smooth, safe, and efficient functioning of wellness clinics and corporate offices. Act as a key liaison between vendors, facility service teams, and internal stakeholders to help resolve operational issues and maintain high service standards.
- Vendor & Service Management: Serve as the point of contact for facility-related vendors (e.g., housekeeping, waste management, biomedical disposal), ensuring service delivery meets performance expectations and compliance standards. Support the onboarding and evaluation of new service providers.
- Preventive Maintenance: Track and coordinate preventive maintenance programs for HVAC, plumbing, electrical, and medical/aesthetic equipment. Schedule service intervals, follow up on completion, and ensure documentation is accurate and up to date.
- Budget & Financial Support: Manage facility-related budget tracking, vendor contract documentation, and invoice reconciliation. Identify opportunities for cost savings and process improvement across recurring services.
- Facility Design & Expansion: Support renovations, new clinic openings, and relocation efforts by tracking construction timelines, assisting with equipment and materials coordination, and facilitating communication between internal stakeholders and external partners.
- Space Planning & Optimization: Shape and refine workspace layouts and treatment room configurations to enhance operational flow, regulatory compliance, and 10X Health brand consistency.
- Safety & Emergency Management: Maintain facility emergency protocols and safety documentation. Coordinate readiness training with onsite teams and monitor adherence to internal and regulatory safety procedures.
- Technology & Security Systems: Work with IT and security partners to monitor and maintain the functionality of surveillance, access control, and climate control systems. Report technical issues, assist in scheduling service, and help standardize infrastructure across sites.
COMPETENCIES
- Strong project management skills with proven ability to manage timelines, track deliverables, and drive cross-functional collaboration
- Hands-on experience coordinating facilities and/or construction projects, including clear communication with vendors and budget oversight
- Proficient in budget monitoring and management, balancing cost control with quality and operational efficiency
- Skilled at scheduling, tracking, and assessing vendor performance to ensure adherence to service standards and contractual agreements
- Excellent communicator capable of effectively engaging contractors, service providers, and internal stakeholders
- Comfortable working in a fast-paced, growth-oriented environments with shifting priorities
- Working knowledge of healthcare or wellness facility compliance (OSHA, HIPAA, ADA) preferred
EDUCATION AND EXPERIENCE
- 3+ years of experience in facilities coordination, facilities project management, or workplace experience management, ideally within a multi-site organization
- Bilingual in English and Spanish preferred to support communication with vendors
- Proficiency with project tracking tools and systems (e.g., Asana, Smartsheet, or equivalent)
- Bachelor's degree in a related field (e.g., Facilities Management, Construction, Business Operations), or equivalent practical experience
- Industry certifications (e.g., FMP, PMP, OSHA 10/30) a plus but not required
PHYSICAL REQUIREMENTS
- Ability to stand, walk, and move for extended periods
- Must be able to lift, carry, push, or pull up to 50 pounds, as needed
- Frequent bending, kneeling, crouching, and reaching to inspect and maintain facilities
- Comfortable working in various environments, including indoor, outdoor, mechanical rooms, and construction areas
- Ability to respond to emergency situations quickly, which may require working outside of standard business hours
- Willingness to travel more than 25% of the time
